Does your governing document allow you to hold property? YES 0 NO 0 If ‘No’ please record how you will amend this in your action plan.

> the one click orgs 'constitution'allows us to hold assets. is this relevant? are we still limited in some way?

What relevant skills do your committee/board have? Community knowledge, Financial management, Risk Management, Marketing, Partnership working, Committee skills, Legal, Managing staff and volunteers, Fund raising, Managing assets, Maintenance, Performance management, Community involvement, Community development.

> answered, but not addressed specifically.

Have you access to other resources, support and skills from outside your committee? E.g. a local business that provides free or low cost printing.

>do we have anything relevant to say here?

>RDC We could highlight our close links with the founders of both London & Nottingham hackspaces, and also reference Martin who was one of the founder members of Cambridge Makerspace (obviously with consent).

Documents required, Governing document

>is this just the constitution from one click orgs? worth a link in the proposal? http://hitchinhackspace.oneclickorgs.com/constitution Yes, the constitution form is the closest thing we have to this I think.

Equal Opportunities policy/ statement

> We should be able to crib something from an existing hackspace I'd imagine.

>RDC Agreed. Couldn't find anything we can steal directly. Not sure we need much more than a statement saying 'we are an equal opportunities community group'.

>Safeguarding vulnerable people policies

>are we happy with cribbing this: https://www.emfcamp.org/code-of-conduct, as I think it represents our (unwritten) approach? Yes, I think this would work. I'm no HR person, but I presume we'll need to think about setting up a channel/procedure for flagging up any breaches of this policy and detail how they will be addressed and resolved. Actually, looking at london HS, they have both a number of useful documents that we should definitely crib and stick on the wiki:

>RDC I think starting with something along the lines of the EMF camp rules makes sense at the minute. When we have a space we can consider more formal arrangements.

Health and safety policy

>rule zero: do not be on fire! is there any point copying one from another organisation? e.g.:http://wiki.makespace.org/Policies

Your capacity to manage the asset on a day to day basis (asset e.g. building management, taking bookings etc)

Repairs, maintenance and health and safety – tell us how you manage these issues now or in the action plan explain how you will deal with these if your expression of interest is approved

> is this that relevant at this stage? anything useful we can talk about?

a) Please confirm you have insurance cover in place or use your action plan to tell us how you will deal with these. Tick boxes below (where applicable): Buildings, Professional indemnity, Contents, Trustee liability, Public liability

> nothing at the moment? We need someone to look into each of them.

Will you need/ do you have in place relevant licenses e.g. Premises, Music etc?

>do we need any licenses for what we want to do?

Please explain how you have researched needs in the local or wider community

> Is it worth mentioning Maker Faires, and what we learn from talking to people there? I've mentioned other hackerspaces/makespaces, but I doubt that means much to most people. is it worth elaborating?

How will users and the community have a voice in what is delivered at the asset?

> almost anything can be delivered that the community makes happen! Committee meetings and membership ownership have been mentioned, is there anything else to add at this stage?

  • I think we should provide some detail of how/who we would contact in order to raise awareness of the hackspace and the opportunities therein. Definitely call it an 'outreach programme'.

How will you develop activities and bring fresh ideas to the project?

> as above

Is anyone else providing similar activities in the same area? If so, who are they? Could you work with them or will they be a competitor? If so, how will you handle this

>as above, the groups have been mentioned, is there anything else worth saying?

Tell us how you are going to deliver inclusion, diversity and social cohesion? (with evidence)

>is a code of conduct sufficient?

Latest annual accounts

>Rob/Alex? Can you put this together please?

What resources does your organisation have to support this project? Capital, revenue, grants?, Have you identified finances so you can deliver your project, How will you make sure your project is financially sustainable in the longer term?, How do you manage your finances including the decision making process for allocating funds?

> I think this is all covered above

How often you report to your board/committee about your finances?

> Rob? Alex? Can we have at least one formal report? I don't think the informal 'we have about £XXX in the account' counts...

Are you planning to recruit volunteers and staff to manage this asset

>do we need any professional services to allow us to manage it?

Monitoring and evaluation - Please explain your systems

>??
